e. Location Data
- With your permission, we collect precise location data for navigation and routing functionality.
f. AI Interaction Data
- Messages sent to our built-in AI chatbot may be processed by OpenAI’s API to assist with tasks and support inquiries.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve our Services
- Facilitate quotes, document signing, invoicing, and CRM functionality
- Deliver AI chatbot responses and suggestions
- Process payments and manage billing through Stripe
- Send service-related communications (e.g., receipts, account alerts)
- Provide navigation through Google Maps or Apple Maps APIs
- Ensure legal compliance and enforce our Terms of Service
We collect personal information such as your name, email address, phone number, and other details during signup and app usage. This data is used to provide and improve our services, manage your account, and communicate important updates.
Third-Party Services
We use third-party service providers, including HubSpot, to help manage customer relationships and send marketing communications such as onboarding emails, newsletters, and product updates. Your personal information may be stored and processed by these providers according to their privacy policies.
Marketing Communications
By using Job Tracker Pro, you consent to receive marketing and transactional emails and/or phone calls related to your account and our services. You may opt out of marketing communications at any time by following the unsubscribe instructions included in those emails or by contacting us directly. Transactional communications (such as account updates) are necessary for service and cannot be opted out of.
3. Legal Basis for Processing (GDPR)
If you are located in the European Economic Area (EEA), we process your personal data under the following legal bases:
- Consent, when you enable optional features like location services
- Contract performance, to provide the Service
- Legal obligations, to comply with applicable laws
- Legitimate interests, such as fraud prevention and improving our product
4. Sharing Your Information
We do not sell or rent your personal data. We may share information with:
- Stripe, for payment processing
- OpenAI, for AI chatbot interactions
- Google & Apple APIs, for navigation and location services
- DocuSeal, for document signing (only when initiated by the user)
- Third-party infrastructure services, including cloud hosting (e.g., AWS), analytics, crash reporting, and customer support tools
5. Data Retention and Deletion
We retain your data as long as your account is active or as necessary to:
- Provide the Services
- Comply with legal obligations
- Resolve disputes and enforce agreements
Account Deletion:
You can permanently delete your account and associated data at any time by visiting the Settings section in the app and selecting “Delete My Account.” This will remove your data from our internal databases and file storage (e.g., Amazon S3). However:
- Data stored by Stripe (billing history) and DocuSeal (signed documents) will remain on their platforms under their respective retention policies.
- You may need to contact those services directly to request deletion.
6. Data Security
We use technical and organizational safeguards to protect your information. While we strive to secure all data, no system is 100% secure. You are responsible for safeguarding your login credentials.
7. Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct or update inaccurate information
- Delete your personal data
- Withdraw consent (where applicable)
- Object to or restrict certain processing activities
